Simplifying hospitality operations with better systems
Hospitality
I reviewed the day-to-day operations of a rural bar and restaurant to identify where manual processes, older systems and disconnected tools were creating unnecessary work. The engagement covered point of sale, ordering, stock, reservations, rostering, timesheets and accounting.

Context & Challenge
The business was relying on an older till system, paper invoices and spreadsheets for areas such as sales and VAT.
Ordering, stock management, staff rostering and timesheets also involved significant manual work. The owners wanted to modernise the operation, reduce administration and make the business easier to manage.
The challenge was understanding how the different operational areas fitted together and identifying where technology could make the biggest practical difference - not just replacing an old till system.
The Approach
-
I worked with the owners to understand how the business operated across the bar, restaurant and café.
We reviewed point of sale, payments, kitchen workflow, stock management, reservations, staffing, timesheets and accounting, and clarified the features that mattered most to the business.
-
I mapped the main operational requirements and considered how information should flow between point of sale, kitchen, stock, staffing and accounting systems.
I also compared software options across POS, payments, accounting and workforce management, including capabilities, pricing, hardware and integration requirements.
-
I developed a practical shortlist and implementation approach covering the main systems required.
The recommendations considered hardware, payment processing, likely implementation effort and how the business could introduce new systems in stages rather than making a disruptive all-at-once change.
Review of current processes across POS, ordering, stock, reservations, staffing and accounting
Defined functional requirements for replacement systems
Comparison of POS platforms including Square, Lightspeed Restaurant and Toast
Assessment of accounting and workforce-management options
Payment-processing comparison
Hardware and implementation estimates
Phased roadmap for introducing the recommended systems

Outcomes
The owners were left with a clearer picture of where the main operational inefficiencies were, which systems could address them and how the different technology choices could work together.
The result was a practical digital roadmap focused on reducing manual work, improving visibility and making the business easier to run.
“Alex gave us a clearer picture of where technology could make the biggest difference and helped us identify practical systems that would make the business easier to run.”
