From fragmented property systems to a clear platform direction
Property Management & Real Estate
I reviewed the systems and information flows across a property business spanning residential sales, lettings and property management. The work identified duplication, integration gaps and opportunities to consolidate several platforms into a clearer long-term systems direction.

Context & Challenge
The business was operating across several service areas, including residential sales, lettings and property management, with different systems supporting different parts of the operation.
Over time, this had created duplication, disconnected information and uncertainty around which platforms should support the business in the longer term.
The goal was to simplify the systems landscape, reduce unnecessary duplication and create a clearer direction for future implementation and integration.
The Approach
-
I worked with the client to understand how the different areas of the business operated and how information moved between sales, lettings, property management, maintenance, valuations and accounting.
We identified where existing systems were working well, where staff were duplicating information and where manual workarounds were filling gaps.
-
I reviewed the existing systems and mapped the key information flows and dependencies between them.
This included looking at CRM and property-management processes, accounting integration, maintenance workflows, reporting requirements and the needs of different teams.
-
I supported the assessment of replacement and consolidation options and helped define a phased future systems direction.
This included evaluating Reapit as the main platform, considering Xero integration, identifying implementation dependencies and helping structure the transition over time.

Outcomes
The business gained a clearer view of how its existing systems fitted together and where consolidation would deliver the most value.
The work supported a move towards a more unified platform and provided a phased approach to migration, integration and process improvement, rather than treating each software decision in isolation.
"Alex helped us step back and look at our systems as a whole. We now have a much clearer direction for consolidating platforms, reducing duplication and planning the transition in a way that works for the business"

If your organisation has accumulated multiple platforms, duplicated processes or unclear information flows, I can help map the current situation, identify where consolidation makes sense and develop a practical path forward.
